VEXAG – Presenter Information
To facilitate a smooth transition between speakers, all oral presentations will be collected ahead of time and shared from the room at the venue.
Oral presentation submission deadline: October 5, 2026.
Session Room Hardware and Software
- Macintosh laptop, LCD projector, and a remote presentation advancer
- Windows hardware and software only
- Note: Mac hardware and software will be used in the session room.
Presentation Software
- PowerPoint only
- PowerPoint slide size: widescreen (16:9)
Presentation Submission
If your abstract is accepted for an oral presentation you will receive a link to upload your slides.
If your abstract is accepted for a poster presentation you will receive a link to upload a one slide poster promotional.
Accepted oral presentation file format: PowerPoint or PDF (will be presented on Mac).
Accepted oral video and audio file formats (if used): MP3, MP4.
File name format: PresentationDate_PresentationTime_LastName:
- The assigned presentation date will be provided in the acceptance letter.
- The assigned presentation time will also be provided in the acceptance letter in a 24-hour format (e.g., 0830, 1300, or 1415).
- If submitting an update to your presentation file, please add the version number to the end of the file name (PresentationDate_PresentationTime_LastName _v#).
- If submitting any source video and audio files with presentations, use these file name formats: PresentationDate_PresentationTime_LastName _video; PresentationDate_PresentationTime_LastName _audio.
- If your upload is successful, you will receive a confirmation email.
- Utilization of the presentation upload link will be the only acceptable method of presentation submission. No presentations will be accepted via email or memory devices (e.g., USB drives).
- Please reference the presentation acceptance letter email for more information about uploading files.
In-Person Oral Presenter Guidelines
- In-person presenters will not use their own laptops to display slides.
- In-person presenters will advance their presentation slides using the remote presentation advancer provided in the oral session room.
- In-person presenters are required to use the podium microphone.
Remote Oral Presenter Guidelines
- Remote presentation slides and video files will be displayed from the session room.
- An assigned in-person attendee will be available to advance slides for remote presenters; in cases of technical difficulty presenters may be asked to present slides from their remote machines.
